Your complete technical roadmap for navigating KCAU's Virtual Campus.

      1. KCAU Virtual Campus Overview

The Virtual Campus is an Integrated Digital Learning Environment designed for maximum flexibility. It serves as your primary gateway for:

      • Interactive Modules: Accessing core course content and downloadable handouts.
      • Zoom Sessions: Participating in live virtual classes and real-time consultations.
      • Discussion Forums: Engaging in academic debates with peers and instructors.
      • Live Support: Technical assistance for Moodle and system-related queries.

      SUCCESS TIP:

Download the Moodle Mobile App from the PlayStore/AppStore. Use the URL virtualcampus.kcau.ac.ke to access your notes even while traveling.

      2. Technical Setup & Software

      Required Software

      • Zoom: For live lectures.
      • Safe Exam Browser: Mandatory for exams.
      • Google Chrome: Best compatibility.

      Hardware Needs

      • Stable Internet: 5 Mbps minimum.
      • Functional Peripherals: Camera & Mic.
      • Utilities: PDF Reader & MS Office.

      SUCCESS TIP:

Run a "Tech Rehearsal" 24 hours before your first exam. Ensure your Safe Exam Browser is updated to avoid last-minute login stress.

      3. Communication & Attendance

Mandatory Register: You must sign the attendance register during every virtual class. This is your official participation record.

System Alerts: Monitor the "Messages" and "Notifications" icons in your dashboard for grade updates and replies.

KCAU Email: Official communication is sent only to your student email. Check it daily.

      SUCCESS TIP:

Enable Email Forwarding from your KCAU email to your personal Gmail/Outlook if you aren't used to checking the university inbox regularly.

      4. Critical University Contacts

      Service Area Email Contact

      ICT Support (Portal/Reset) reset@kcau.ac.ke
      Admissions & Registrar registrar@kcau.ac.ke

      SUCCESS TIP:

When emailing support, always include your Student Admission Number and a Screenshot of the error. This helps technical staff resolve your issue 2x faster.

      5. Navigating the Student Portal

      Access administrative tasks at portal.kcau.ac.ke:

      Academics

Course registration, Exam Cards, Results Audit, and Student Surveys.

      Finance

Check Fee Balances, download receipts, and view billing history.

      SUCCESS TIP:

Download your Exam Card at least 3 days before exams start. You will not be able to access the Moodle Exam room without a valid digital exam card.

      6. Assignments & Exams

      Submission Modes:

Individual: Direct upload of your personal tasks.
Group: Ensure only one member submits for the whole team to avoid system confusion.

      Quiz Integrity:

Final exams utilize Camera Proctoring or Safe Exam Browser. If your camera is blocked or software is missing, you will be automatically locked out.

      SUCCESS TIP:

Never wait for the final minute to upload an assignment. Moodle traffic spikes near deadlines, and a 1-second delay can result in a "Late Submission" penalty.

      7. Disability & Inclusion Clause

KCA University is committed to ensuring that the Virtual Campus remains an inclusive environment for all learners. We recognize that students with diverse abilities may require specific digital accommodations to achieve academic success.

      Technical Accommodations

Support for screen readers, keyboard-only navigation, and closed-captioning requests for live Zoom sessions.

      Exam Adjustments

Provision of extended time or alternative assessment formats for students with documented learning or physical disabilities.

Mandatory Action: Students requiring accommodations are advised to formally disclose their status by completing the "Disability Disclosure & Request Form" via the Student Portal. Please contact registrar@kcau.ac.ke for confidential assistance.

      ACCESSIBILITY TIP:

Our Moodle platform supports High Contrast Mode and Font Resizing. If you use a screen reader like NVDA or JAWS, ensure your browser is updated to the latest version of Chrome for the best experience.

      8. Resources & Disability Support

      Digital Library & Research

Access over 200,000+ e-books and journals through MyLoft. Use your KCAU student credentials to log in and download materials for offline reading.

      • Remote access to JSTOR, Emerald, and IEEE.
      • Past Examination Papers database.
      • Automated Citation & Referencing tools.

      Inclusive Learning

KCAU provides reasonable accommodations for students with documented disabilities. This includes extended exam time and accessible content formats.

Action: Complete the "Disclosure Form" on your Portal.

      PRO-TIP FOR SUCCESS:

Need a specific book that isn't online? Use the "Ask a Librarian" chat feature on the library website. They can often provide a scanned chapter or a direct digital alternative within 24 hours.
